Customer Story

Allianz moved its broker documents from paper to Applied eDocX

Brokers now receive auto-indexed documents in their management systems, and Allianz has cut its paper use by 40%.

Challenge

A paperless plan to serve the end customer better

Digital technology has changed what consumers expect from insurance services. Allianz knew it needed to work more efficiently with its brokers to give the end customer better service. “Ultimately, there is one end customer, and both the broker and insurer play a part in how they service that customer's requirements,” said Jim Byrne, underwriting team manager.

Brokers were asking for change too. “The key driver behind our paperless strategy was really broker demand,” Byrne explained. “We were consistently getting requests from brokers for batch production of electronic documents or ad hoc production where brokers needed a certain document as a PDF so they could share it with a customer. We needed to respond to that.”

To serve customers better and use less paper, Allianz needed technology that could send documents to brokers digitally, and security was a priority. “We needed to ensure that any digital document was delivered to the right person every time in a very secure manner,” said Byrne.

Solution

Secure, automated document exchange with brokers

Allianz partnered with Applied to automate document exchange directly with its brokers, so everyone involved has the latest policy information. Applied eDocX delivers documentation reliably and with authentication, supporting client documents for all lines of business.

Documents now arrive in digital format directly in each broker’s management system. Applied eDocX provides secure two-way electronic document exchange between insurer and broker, with accurate, assured delivery of every file.

The benefit is huge in large renewal runs. “Recently a broker approached us who had a particular scheme with thousands of policies due on or around the same date,” said Byrne. “Historically, they would have received a paper renewal notification and then they would have had to scan and file those documents into the customer file. With Applied eDocX, we were able to deliver the documents in a single batch job electronically, which allowed them to be fully auto indexed and filed without any intervention.”

How Applied eDocX helps

Allianz sends policy documents to brokers electronically, securely and in bulk, straight into the systems those brokers already work in.

Documents arrive filed

Brokers receive policy documents inside their management system, already indexed and filed, with no scanning or manual filing needed.

Sent to the right person

Two-way electronic exchange with authenticated delivery means each document reaches its intended recipient every time it is sent.

Quote-ready account details

Thousands of scheme renewals due on the same date can go out to a broker as a single electronic batch job.

Results

A 40% reduction in paper usage

Allianz set goals for 70% of all outbound communication to be digital and for a 40% reduction in paper usage. Using Applied eDocX, it has hit both targets.

Allianz and its brokers are both saving significant time, which they can spend on retaining customers rather than on administration. “It allows Allianz to really add value to the broker's interaction with the customer,” explained Byrne. “Even at the simplest level, replacing paper arriving at a broker's office with an auto indexed set of documentation brings efficiency and allows the broker to better interact with the customer in a digital format.”

Allianz is a longstanding Applied partner and plans to grow the partnership further. “It’s key that we work with Applied to continue to deliver innovative solutions to the market. eDocX is a prime example of where we have done that,” said Byrne.
