Work from anywhere
Staff choose between the office and home and can work outside standard hours, which has also supported the brokerage's recruitment drive.
Customer Story
When staff had to work from home in 2020, the move to the cloud a year earlier meant virtually no impact on production.
Challenge
In 2019, Dolmen Insurance decided to move to an online phone system so it could serve clients from anywhere, at any time. That brought a second decision: replace its outdated servers and hardware or migrate its broker management system to the cloud.
The brokerage weighed both routes, as each had pros and cons. New servers and hardware would mean paying those capital costs again in another five to six years. The cloud would mean some implementation time and change management to work through. After evaluating these and other factors, including cost, Dolmen Insurance decided the cloud was the better choice.

Solution
Dolmen Insurance chose Applied Cloud, the only purpose-built cloud for the insurance industry, to run its business operations. Applied Cloud provides backup and disaster recovery, encryption and data security for business continuity, and lets staff work outside standard office hours to meet client demand for convenient service.
The implementation took about five months in total, including prep work, testing and fixes. Much of that work sat with the Applied team, which made sure data mapped correctly from the servers and moved the management system processes and integrated applications to the cloud.
Applied now manages security and maintenance for the brokerage. With just two dedicated IT resources, Dolmen Insurance no longer carries that responsibility alone, and a company with far greater resources keeps its data safe.
Dolmen Insurance runs its broker management system in Applied Cloud, with Applied handling security, maintenance and updates for its small IT team.
Staff choose between the office and home and can work outside standard hours, which has also supported the brokerage's recruitment drive.
Backup, disaster recovery, encryption and data security are handled by Applied rather than by a two-person in-house IT team.
Updates arrive with 48 hours’ notice and run in the evenings or at weekends, so the working day carries on uninterrupted.
Results
Moving to the cloud in 2019 turned out to be a blessing in disguise. Dolmen Insurance had planned the migration to give staff the flexibility to work remotely, so when staff were forced to work from home in 2020, it had virtually no impact on production.
Staff can now choose to come into the office or work remotely. Management is comfortable that, once targets are being achieved and clients’ needs are fully served, it does not matter where or when people work. Staff see this flexibility as a major benefit of working at Dolmen Insurance, and it has helped the brokerage’s ongoing recruitment drive.
Downtime has fallen, too. The previous on-premises server sometimes needed urgent updates during working hours. With more than 70 employees, the IT team had to wait until everyone was out of the system, which could take up to an hour if someone was on a call, before running and testing the update. All of that could cost several hours of the working day. Now updates usually come with 48 hours’ notice and happen in the evenings or at weekends, so staff can reorganise their schedules if needed, and issues are resolved much more quickly.
