Customer Story

Berkeley & Company walks into every prospect meeting prepared

Applied Epic compiles public research on each prospect and client, saving the service team three to four hours each.

Challenge

Thorough research cost hours the team didn’t have

Berkeley & Company was built for the clients who fall through the cracks – too big for a small broker, overlooked by the national firms, and looking for professionalism and expertise that match what they actually need. The boutique commercial and high-net-worth private client agency makes thoroughness its advantage. Every new prospect received deep upfront research: websites, government databases, Secretary of State listings, and any other public source that could reveal something about the client’s operations, exposures, or history.

The problem was the cost of that standard. “Three or four hours of research is certainly not unusual for us,” said Debbie Dumas, Director of Operations. “As everyone knows these days, there’s so much information available on most topics that you can easily go down a rabbit hole and end up with a huge amount of information to compile.”

Producers land the prospect, and the service team takes the account from there, so most of the research fell to Dumas and her team on top of everything else. With so many sources, it was hard to standardize, and service executives risked entering first conversations without a complete picture of the client’s operations – and with it, missed exposures and coverage gaps.

Solution

Prospect and account research delivered automatically

Berkeley & Company brought automated prospect and account intelligence into its Applied Epic workflows. Applied Epic gathers publicly available information on every prospect and client, surfaces operational details, risk attributes, and potential coverage gaps, and delivers it as a structured report by email. What once took Dumas and her team three to four hours now arrives in their inbox while they work on something else.

“With [Applied Epic Book Builder], all that has been virtually eliminated. It’s been amazing,” said Dumas. The service team now walks into the first call with a full picture. “The service team is well aware of everything that there is to know about the client that’s available publicly,” Dumas said. “The client can easily see that we do what we say we’re going to do, and that we all work very well together.”

The same review is part of every renewal. It is a formal checklist item in the team’s Applied Epic activity workflow, so each account is reviewed before renewal begins, catching coverage changes, operational shifts, and new exposures before they become problems.

How Applied Epic helps

Public research, renewal reviews, and account records sit together in Applied Epic, so service and producers share one view of each client.

Prospect reports by email

Applied Epic compiles public details on each prospect into a structured report and emails it, so staff keep working while it arrives.

Shared client knowledge

Service executives and producers start the first in-depth conversation with the same picture of the client’s operations and exposures.

A required renewal check

Every account is reviewed before renewal starts, so changes in coverage or operations surface while there is time to act.

Results

Hours back on every new prospect

“For every prospect that comes in the door, we’ve gained easily three or four hours minimum,” Dumas said. For a small agency where research had fallen to two or three people, that adds capacity without adding headcount. The team spot-checks reports rather than verifying everything from scratch, because they have proven “so reliable and so accurate.”

The result that surprised the team most was how prospects saw Berkeley & Company. The service team now asks specific, informed questions about each client’s actual operations. “Clients are frequently taken off guard that we already know enough to ask the right questions,” said Dumas. “[Applied Epic Book Builder] has allowed us to take our professionalism to the next level while reducing the time to get there.”
